How does Print Management Work? 

Standardization - As organizations grow, it is not uncommon for new devices to be brought into service without old devices being taken out of service. In a mixed environment of old and new devices, the management of each of those devices can be very different. By standardizing device platforms, management of your printing equipment can be made much simpler. Moreover, end users will not need to learn how to operate multiple hardware types and can focus on their day-to-day tasks instead of wondering how to print their documents.
 
Consolidation - Employees like the personal convenience of desktop printers. Oftentimes that personal convenience is at the expense of the organization’s bottom line. Usually, the smaller the rated print volume on a particular device, the more expensive that device is. Small, personal printers can cost as much as four or five times that of departmental printing devices. By reducing the number of personal, desktop printers you'll save the need to manage multiple devices and can realize significant cost savings in toner, parts, and maintenance costs.

Location - Departmental printing devices are less expensive to operate than small, desktop printers. By positioning appropriately-sized workgroup printers and multifunction systems throughout your organization, you can increase efficiency as well as reduce overall cost.

Analysis

The first step is to understand your current document output environment.
Our Document Analysis process is a proven strategy to gather this information quickly - without disruption to your work environment.

Here’s what you can expect during the analysis phase:

Asset Identification:
We leverage network technology to gather information about your output devices (printers, copiers, and fax machines).  A non-invasive USB key captures key information that is stored on your network devices: models, serial numbers, and meter readings.  This information is placed into a Docanalysis template to easily manage and report the findings. 

 Cost Identification:
We work with you to determine the current cost of supplies, parts, service, and support for each device.  For printers, this can be done by gathering information from your office supply invoices or by using a recent survey of print cartridge prices from national office supply retailers.  For copiers, this can be done by auditing your copier service agreements.  The goal is to calculate the total cost of ownership by device and for the enterprise. 

Application Assesment:
Through end user interviews and physical observation, we look for unique applications and business critical documents.

Office Layout:
With a floor plan in hand, we do a quick walk through of your facilities, noting the location of each of your devices.  With your permission, we’ll talk with department managers where appropriate to learn the key needs of their departments. 


Optimization:

Optimized Document Output Infrastructure:
As we evaluate your document output infrastructure, there are several areas we look for:

Optimal Device Placement:
Placing the right devices in the right location for the right application can lead to dramatic cost reductions. Redeploying systems with low operations costs to high-volume areas gives the double benefit of reducing costs and increasing productivity. Units with higher operating costs are then redeployed to low volume areas. Low volume, high-cost units may be eliminated as printing jobs are directed to lower-cost devices. 

Leverage Multifunction Systems:
Many times we find laser printers and fax machines located in the same area as a multifunction system. In some cases it is possible to move the printing and faxing for the department to the lower-cost multifunction system. This frees up a printer and fax for retirement or for use in another part of the company. 

Refresh Costly Older Models:
Older systems can end up being very costly to operate. Where it makes sense, we may recommend refreshing older systems with new technology. Often, we can do this with little or no capital expense to you when you use our Managed Print Services. 

Reduce Number of Models and Supplies:
Simply consolidating the number of printer and copier models simplifies the stocking of printer supplies. Where possible, we will recommend consolidating models to streamline your document output fleet, reducing cost and simplifying helpdesk support and network management.
